How to Save password setting not retained in Outlook or Outlook Express

Sunday, October 5, 2008

SYMPTOMS
When you connect to your Internet service provider (ISP) to retrieve messages from a Post Office Protocol 3 (POP3) server, your password is not retained even though you chose to save the password. Entering the correct password again does not resolve the issue.

CAUSE
This issue occurs for one or more of the following reasons:
• You have a corrupted Outlook profile or a corrupted Outlook Express identity.
• There are conflicts with add-ins or with antivirus software.
• The registry contains incorrect information for the Protected Storage System Provider subkey for the user account in Windows XP, in Windows 2000, and in Outlook 2003 or earlier versions of Outlook.

RESOLUTION
To resolve this issue, use the following methods. The first method is intended for a general audience, including beginning computer users. The rest of the methods require more advanced computer knowledge.

Method 1: Create a new Outlook profile or a new Outlook Express identity
The first thing that you should try is to create a new Outlook profile if you are using Outlook or to create a new Outlook Express identity if you are using Outlook Express. To do this, see either the "Create a new Outlook Profile" section or the "Create a new Outlook Express identity"

Create a new Outlook Profile
Create a new Outlook profile, and then configure the new profile to use the personal folders (.pst) file that was used by the damaged profile. To do this, follow these steps:
1. Locate the .pst file

To locate the .pst file that your profile uses, follow these steps for the version of Outlook that you are using.

For Microsoft Office Outlook 2007
1. Start Outlook.
2. On the Tools menu, click Account Settings.
3. On the E-mail tab, click your e-mail account.
4. In the Account settings dialog box, under Selected e-mail account delivers new e-mail messages to the following location, you will see the path and the file name for the .pst file that is associated with your e-mail profile. For example, the path and the file name may resemble the following:
C:\Documents and Settings\ user_name \Local Settings\Application Data\Microsoft\Outlook\Personal Folders(1).pst
5. Note the path and the file name for the .pst file that is associated with your e-mail profile.

For Microsoft Office Outlook 2003 and Microsoft Outlook 2002
1. Start Outlook.
2. On the Tools menu, click Options.
3. On the Mail Setup tab, click Data Files.
4. Note the path and the file name for each .pst file that is associated with your e-mail profile. For example, the path and the file name may resemble the following:
C:\Documents and Settings\ user_name \Local Settings\Application Data\Microsoft\Outlook\Personal Folders(1).pst
2. Create a new e-mail profile in Outlook

After you locate the .pst files, create a new e-mail profile in Outlook. To do this, follow these steps.

For Outlook 2007
1. Start Outlook.
2. On the Tools menu, click Account Settings.
3. Click the E-mail tab, and then click New.
4. Follow the instructions in the Add New E-mail Account wizard to create the new account.

Note If you do not have the account information that the Add New E-mail Account wizard requires, view the settings for your existing account. To do this, click the account on the E-mail tab in the Account Settings dialog box, and then click Change. Note each setting in the Internet E-mail Settings dialog box.

If you do not know the password for your e-mail account, contact your Internet service provider (ISP). Or, if your mailbox is not associated with your ISP, contact the network administrator of the server on which your mailbox is located for help with your password.

Configure the new profile to use the .pst file that was used by the damaged profile

After you create the new profile in Outlook, configure the new profile to use the .pst file that was used by the damaged profile. To do this, follow the steps for the version of Outlook that you are using.

For Outlook 2007
1. Start Outlook.
2. On the Tools menu, click Account Settings.
3. On the E-mail tab, click your e-mail account.
4. Click Change Folder under Selected e-mail account delivers new e-mail messages to the following location at the bottom of the Account Settings dialog box.
5. Click New Outlook Data File, click Office Outlook Personal Folders File, and then click OK.
6. Locate and then click the .pst file that was used by the damaged profile, and then click OK.

For Outlook 2003 and Outlook 2002
1. Start Outlook.
2. On the Tools menu, click Options.
3. On the Mail Setup tab, click E-mail accounts, click View or change existing e-mail accounts, and then click Next.
4. Click New Outlook Data File, click Personal Folders file (.pst) under Types of storage, and then click OK.
5. Locate and then click the .pst file that you want to use, and then click OK two times.
Note If you want to use more than one .pst file, repeat steps 4 and 5 for each .pst file that you want to use with the new e-mail profile.
6. In the Deliver new e-mail to the following location list, click Personal Folders, and then click Finish.
7. Click OK if you receive the following message:
You have changed the default deliver location for your e-mail. This will change the location of the Inbox, Calendar, and other folders. These changes will take effect the next time that you start Outlook.
8. On the File menu, click Exit.
9. Start Outlook. Then, click Yes to update the Outlook Bar shortcuts to point to the .pst files if you receive the following message:
The location that messages are delivered to has changed for this user profile. To complete this operation, you may need to copy the contents of the old Outlook folders to the new Outlook folders. For information about how to complete the change of your mail delivery location, see Microsoft Outlook Help. Some of the shortcuts on the Outlook Bar may no longer work. Do you want Outlook to re-create your shortcuts?

Create a new Outlook Express identity

To create a new Outlook Express identity, follow these steps:
1. On the File menu in Outlook Express, point to Identities, and then click Add New Identity.

Or, on the File menu, point to Identities, click Manage Identities, and then click New. The New Identity dialog box will open.

Compression And Data Loss In Pst Files

Thursday, September 25, 2008

PST or Personal Storage Files is the extension of Microsoft Outlook files. These files are used to store Outlook data on the local hard drive of your computer. These personal data included mails, calendar, notes, schedule and contacts. These files are called PST as these are saved locally with .PST file name extension.

PST file are very useful as the store all the Outlook data. In order to access your Outlook data, you need to convert them in PST from OST (offline storage files stored on server). These files are very fast to communicate and take less space to store.

There is a drawback with PST file in Outlook 2002 and earlier versions that you can’t store PST files more than 2 GB. In later versions, this issue has fixed, but the performance of Outlook will decrease if the size of PST files will grow. In these cases, Outlook users have an alternative to compress the PST files. PST file compression is helpful in saving the disk space and making the communication and mail transfer easier. It is very important to compress the PST files with large size when you are sending them as an attachment.

In spite of giving benefits, sometimes PST file compression can lead to problems. It can corrupt your Outlook PST files. The PST file corruption due to compression generally occurs due to two reasons:

1. Halting the process of data compression
2. Editing the compressed PST files

If any of these situations take place, your PST files can corrupt and can become inaccessible. In these situations, you need to repair the corrupted Outlook PST files.

It is very critical situation of file corruption as you can’t repair these files using inbuilt PST repair tools like ScanPST.exe. But there is no need to worry about your Outlook PST files. You can repair these files using third party data recovery software that are available in the form of pst repair software.

Stellar Phoenix Outlook PST Repair is powerful yet easy to use pst recovery software. This software is helpful in repairing and restoring the corrupted Outlook PST files. This is a read only and non destructive data recovery software that doesn’t modifies the original contents of the PST files. This software can repair and restore the PST files in all possible cases of corruption or damage.

You can download the demo version of the software and can scan your corrupted PST files. The demo version of the software can preview the 5 mails and 20% of other contents of your Outlook data. This software is capable to repair all the contents of Outlook including mails, calendar, notes, tasks, schedule and contacts.

Read and send messages in other languages with Outlook

Friday, August 1, 2008

When you receive a message in a different language, the message must be marked with information about the character set (alphabet) that was used to create it in order for Outlook 2000 to be able to display the message. When you forward or reply to the message, Outlook keeps the character set of the original message. Including character set information with a message is called encoding.
Occasionally, you may receive messages that aren't encoded. For these messages, Outlook uses the default encoding for unmarked messages that's specified for your computer. This default is set automatically based on the Regional Settings (system local settings) of your operating system. The default setting appears in the International Options dialog box. (On the Tools menu, click Options, click the Mail Format tab, and then click International Options.)
The default encoding might not work for some of the international messages that you receive. For example, if your default is Western European and you receive an unmarked message that uses a Greek character set, the message might display boxes or question marks instead of readable text. To fix this problem, you need to change the encoding of that specific message to Greek so Outlook can display the correct characters and provide Outlook Support to read and send the email massage.
Changing the encoding of a message
By default, there are a number of languages already enabled when you install Microsoft Office 2000. As a result, the character sets for these languages are listed in Outlook so you can change the encoding of any unmarked message to the character set used to create the message.
Change the encoding of a received message
1. Open the message.
2. On the View menu, point to Encoding, and then click the character set (alphabet) you want to use.
3. Click Yes.
Encoding doesn't only apply to messages that you receive. It also applies to messages you send. Outlook automatically uses the default encoding for outgoing messages (also specified in the International Options dialog box mentioned above); however, you can specify a different encoding for a specific message.
Enable a language
1. On the Windows taskbar, click the Start button, point to Programs, point to Microsoft Office Tools, and then click Microsoft Office Language Settings.
2. Click the language you want to enable.
Once you've enabled the language, its character set is available in the encoding list in Outlook.

How to AutoRecover and AutoSave work

Friday, July 25, 2008

The AutoRecover option (in these Microsoft Office programs: Word, Excel, PowerPoint, Publisher, and Visio) and AutoSave option (in Microsoft Office Outlook) can help you avoid losing work in two ways:

  • Your data is automatically saved If you enable Auto Recover or AutoSave, your file (such as a Microsoft Office Word document) or item (such as an Outlook Support and Outlook e-mail message) is automatically saved as often as you want. Therefore, if you have been working for a long time but forget to save a file or if your power goes out, the file you have been working on contains all or at least some of the work you have done since you last saved it.
  • Your program state is automatically saved In Microsoft Office Excel, Microsoft Office Outlook, Microsoft Office PowerPoint, and Microsoft Office Word, there is an additional benefit to enabling AutoRecover or AutoSave. In these programs, if you enable this option, some aspects of the state of the program are recovered when the program is restarted after it closed abnormally.

For example, you are working on several Excel workbooks at the same time. Each file is open in a different window, with specific data visible in each window. In one of the workbooks, a cell is selected to help you keep track of which rows you already reviewed, and then Excel crashes. When you restart Excel, it opens the workbooks again and restores the windows to the way they were before Excel crashed.

Although not every aspect of your program's state can be recovered, in many cases, the Recovery feature can help you recover more quickly.

Translate Outlook Text into Excel

Friday, July 4, 2008

Using the Research feature, you can translate single words or short phrases by using bilingual dictionaries or translate your entire document by using Web-based machine translation services. To translate text, you may also need to satisfy the operating system requirements for specific languages.
Machine translation is helpful for conveying the basic subject matter of the content and for confirming whether the content is relevant to you. For important or sensitive documents, human translation is recommended, because machine translation may not preserve the full meaning and tone of the text. This provided Outlook Support to using outlook with Excel.
Follows the Steps ..
1. On the Review tab, click Translate.
2. If this is the first time you have used translation services, click OK to install the bilingual dictionaries and enable the translation service through the Research task pane.
3. To change the languages that are used for translation, in the Research task pane, under Translation, select the languages that you want to translate from and to. For example, to translate English to French, click English (U.S.) in the From list and French (France) in the To list.
